Office Admin and Hiring Manager
Guardoc Health is an AI-powered clinical intelligence company making a real impact in the world. By helping care teams make better, faster decisions through automation and data, Guardoc is improving patient care and clinical operations at scale.
We're looking for a sharp, organized, AI-native operator to keep our Tel Aviv office running, our invoices moving, and our hiring, onboarding and offboarding on track. You'll be the person who makes sure nothing falls through the cracks: every candidate gets a timely answer, every new hire is productive from day one, every leaver exits cleanly, and every invoice is issued, tracked and filed. You don't just use AI tools; you build them into how the work gets done.
This is a full-time role located in Tel Aviv, 4 days on-site, reporting to the Director of Business Operations.
Key Responsibilities
Office Operations
- Manage the Tel Aviv office day to day: supplies, groceries, vendors, maintenance, and the office budget.
- Organize team events, holidays, birthdays and visits from US colleagues.
Invoices and Finance Administration
- Issue customer invoices, track receivables and follow up on overdue payments.
- Process vendor invoices and payment requests, route them for approval and keep records organized for accounting.
- Support month-end with the outside accountant and keep financial documents filed and audit-ready.
Hiring
- Run the hiring process day to day: publish roles, source candidates, screen CVs against role criteria, and keep every candidate logged in our recruiting pipeline.
- Schedule HR phone screens and interviews, coordinate interview panels, and send candidate communications on time at every stage.
- Run reference checks and prepare offer and employment-agreement paperwork for management approval.
Onboarding and Offboarding
- Own the onboarding/offboarding process end to end, from signed contract through pre-boarding paperwork, equipment, workspace, accounts and access requests.
- Resignation/termination paperwork, final payroll inputs, equipment return, knowledge handover, exit interview, and confirmed removal of all system access with managers.
- Maintain the Israel and US onboarding checklists and role onboarding kits, and keep them current.
Qualifications
- 2–4 years of experience in office management, HR or people operations, recruiting coordination, or business administration.
- Hands-on experience with recruiting coordination and running onboarding and offboarding processes.
- Experience with invoicing, accounts payable/receivable or bookkeeping support.
- Strong organization, follow-through and checklist discipline; able to manage many open threads at once.
- Discretion and sound judgment with confidential employee and financial data.
- Comfortable with Google Workspace, Slack and task or pipeline tools (Monday.com or similar).
- Excellent written and verbal English and Hebrew.
Nice to Have
- Hands-on, daily use of AI tools in your work, with concrete examples of processes you sped up or automated.
- Experience with LinkedIn Recruiter or an ATS.
- Experience working with US-based teams across time zones.
- Familiarity with QuickBooks or Israeli invoicing systems.
